    Booking Terms & Conditions

    These booking terms apply to all Pesää Vailla cabin rentals (Otsonpesä, Naalinpesä, Riekonpesä, Metsonpesä), unless otherwise agreed in writing.

    1. Making and confirming a booking

    A booking is considered binding once the landlord has confirmed it and the tenant has paid the booking fee. The invoice will be sent by email or as an e-invoice. A separate booking confirmation will not be sent.

    When making a booking, the tenant must state the number of guests and any additional service requests (bed linen, final cleaning, hot tub). The landlord reserves the right to decline a booking for a justified reason.

    2. Prices and payment terms

    2.1 Booking fee

    The booking fee is 20% of the total rental price and must be paid immediately after the booking is confirmed to the account specified by the landlord. The booking takes effect once the booking fee has been credited to the landlord's account.

    2.2 Final payment

    The final payment (80% of the total rental price) is due no later than 30 days before the start of the accommodation period. If the booking is made less than 30 days before arrival, the full rental price is payable at the time of booking confirmation.

    2.3 Additional services

    Bed linen, final cleaning and other additional services are invoiced together with or separately from the rental payment at separately communicated prices.

    3. Cancellation policy

    3.1 Refund of booking fee

    The booking fee (20%) is non-refundable under any circumstances. The booking fee compensates the landlord for processing the booking and reserving the dates.

    3.2 Cancellation more than 30 days before the stay

    If cancellation is made more than 30 days before the start of the stay, the final payment will not be charged, but the booking fee is retained by the landlord.

    3.3 Cancellation less than 30 days before the stay or no-show

    If cancellation is made less than 30 days before the start of the stay, or the tenant fails to arrive, the full rental (100%) will be charged. The final payment will be refunded only to the extent that the cabin can be re-rented for the same period. In such cases, the following costs will be deducted:

    • Administrative fee €250 + VAT 25.5% (incl. rebooking processing costs)
    • Rental price difference: if the new rental is lower than the original, the tenant is liable for the difference

    The refundable amount is therefore the final payment minus the administrative fee and any rental price difference.

    4. Arrival and departure

    Check-in time is 4:00 PM and check-out time is 11:00 AM, unless otherwise stated in the booking confirmation. Early arrival or late departure must be agreed separately with the landlord. A surcharge may apply for late departure.

    5. Guests and house rules

    The maximum number of guests is as stated in the booking confirmation. Parties and events are only permitted with the landlord's written consent. The tenant is responsible for ensuring that all guests comply with these booking terms.

    The tenant agrees to observe quiet hours between 11:00 PM and 7:00 AM. Excessive noise, disruptive behaviour or any activity that disturbs the neighbourhood or the peace of nature is prohibited. Smoking is permitted outdoors only, and cigarette butts must be collected, as we are child- and pet-friendly. Smoking is prohibited on the glazed terrace at Naalinpesä.

    Bringing pets must be agreed in advance with the landlord. An additional cleaning fee may apply for pets.

    6. Use and condition of the cabin

    The tenant receives the cabin in a clean and equipped condition and agrees to return it in the same state. The tenant is responsible for the careful use of the cabin and its furnishings and must immediately notify the landlord of any defects or damage.

    Before departure, the tenant must:

    • Take rubbish to the designated bins and sort it according to instructions
    • Wash dishes or load and start the dishwasher
    • Turn off lights, close windows and lock doors
    • Return keys as instructed
    • Set the thermostat to the instructed setting

    If final cleaning has not been ordered, the tenant must leave the cabin in a tidy condition. A cleaning fee will be charged retroactively for inadequate cleaning.

    7. Sauna and washing facilities

    The sauna is available as part of the cabin's amenities. Sauna use must follow the provided instructions (heating, steam, ventilation). General cleanliness of the sauna must be maintained during the stay.

    8. Hot tub and jacuzzi – cabin-specific terms

    8.1 Otsonpesä (Levi) – wood-fired hot tub

    Filling, heating, draining and cleaning the hot tub at Otsonpesä is the tenant's responsibility. The landlord will provide usage instructions before arrival. The hot tub must be used according to instructions and left clean and empty upon departure.

    8.2 Naalinpesä (Äkäslompolo) – jacuzzi

    Water quality in the Naalinpesä jacuzzi is maintained through regular pH monitoring, and the water is changed as needed. Guests must follow these jacuzzi usage rules:

    • No eating or drinking in the jacuzzi
    • Do not apply sunscreen or other skin products before entering
    • Shower before entering the jacuzzi
    • Do not use soap, shampoo or other detergents in the jacuzzi

    If the jacuzzi water is contaminated due to improper use or neglect (e.g. eating, drinking in the jacuzzi, sunscreen or other actions contrary to the usage rules), a water contamination fee of €100 will be charged. The fee covers water replacement and cleaning.

    9. Liability for damages

    The tenant is liable for all damages caused to the cabin, its furnishings or the outdoor area in full. This also applies to damages caused by members of the tenant's party or pets.

    The landlord will document the damages and notify the tenant. A compensation claim will be sent in writing, and payment is due within 14 days of receiving the claim.

    Normal wear and tear is not considered damage.

    10. Landlord's liability

    The landlord ensures that the cabin matches the description in the booking confirmation and is in working order upon arrival. The landlord is not liable for disruptions or damages caused by force majeure, such as power or water outages, exceptional weather conditions or other unforeseeable events.

    The landlord is not responsible for the personal property of the tenant or their party, nor for accidents or injuries during the stay. The tenant is advised to obtain their own travel insurance.

    11. Keys

    Key handover and return follows the instructions provided in the booking confirmation. Lost or unreturned keys will incur lock replacement costs.

    12. Insurance

    The landlord holds property insurance for the cabins. The insurance does not cover the tenant's personal property or damages caused intentionally or through negligence by the tenant. The tenant is advised to obtain their own travel and liability insurance.

    13. Complaints

    Any defects or issues must be reported to the landlord immediately upon discovery so that corrective action can be taken. Complaints made at a later time may not be considered.

    14. Privacy

    The landlord processes the tenant's personal data in accordance with data protection legislation. Personal data is used solely for managing the booking, customer communication and fulfilling legal obligations. Further details can be found in our privacy policy at pesaavailla.fi.

    15. Applicable law and dispute resolution

    These booking terms are governed by Finnish law. Any disputes will primarily be resolved through negotiation. If no agreement can be reached, the matter will be settled in the district court of the landlord's domicile.

    16. Acceptance of terms

    By making a booking and paying the booking fee, the tenant confirms that they have read and accepted these booking terms in their entirety. These terms form part of the rental agreement.
